Seeing the ever-increasing demand from our customers, we sent our development team on a mission to create a tool that would take automation in sales to the next level. The guys worked really hard on it and came up with Bitrix24 Smart Processes, a tool that we recently premiered during our May 2021 release presentation.
Our Smart Processes are sales-oriented and are only available in Bitrix24 CRM . Sounds like some technical nonsense to you? Fair enough, let's explain it in simpler terms (assuming you know what a CRM is).
Because no two businesses have the same sales processes indonesia whatsapp number list and workflows, we often hear from our customers that they need to adapt our deals, leads, or quotes to their own internal processes. This is where Smart Processes come in.
Bitrix24 Smart Action is a customizable element type in our CRM that allows you to create your own work scenarios . Using Smart Actions you can set:
pipelines and sales funnels
stages and Kanban
automation rules and triggers
Default access permissions for pipelines
You can use some of our templates or create a smart process from scratch. You can also connect your smart process to other CRM entities, calendars, tasks, and even task templates.
“Now, that’s all well and good, but how about a real-life example?” some of you might ask. Sure, why not?
Smart Process Example in Bitrix24
Let’s say you run a recruitment agency. Sure, you can easily use a CRM for your sales processes, but that’s not the only type of process you have to deal with. What if you’re dying to use a CRM for something that’s not sales? Bitrix24 is here to help.
As we mentioned earlier, you can create a new smart process inside Bitrix24 – all you need to do is configure its components, set the necessary fields, enable CRM connections by selecting the entities you want to connect to this new process – and you’re good to go! Let’s apply this logic to our case.
Since it is a HIRING Process (not SALES), the default stages won’t work. We need custom stage names like Incoming Resumes, Screened Candidates, Interviewed Candidates, and others, which you can easily create in our Smart Process editor.
Next, we also need custom fields for our candidates. In our case, it could be the candidate's name, the position they are applying for, links to their social media profiles, their date of birth, a field called "resume" where the resume file should be attached, and any other fields you may want to add.
Now that we have added a few new candidates, we have them all captured in the Incoming Resumes stage and then some are screened, interviewed, offered and finally accepted! As this happens, our candidates move from one stage to the next to fill your vacant positions.
Any custom entity in your CRM can be configured to work with all our rules, triggers, or webhooks. For example, you can automatically send an email or text message to a candidate who has been invited to an interview. Just set it up once and it will work automatically for you from then on.
Solution
That’s enough for us to take a quick look at intelligent process automation, why it’s so important, and how it actually works in a real-life business situation. Don’t underestimate the power of a good intelligent process because it can really help take some weight off your shoulders, optimize a lot of workflows, and save you some money along the way.
